Congratulations: your European project is officially launched! Now begins the coordination phase, which involves communicating with the various partners, organising the consortium, monitoring technical progress, managing the budget, and liaising with the European Commission. With appropriate and rigorous organisation from the outset, everything becomes much smoother. Here are a few tips based on our experience with numerous European project leaders.<\/p>\n<\/div>

Optimise the start-up phase with clear organisation and methods<\/span><\/h5>\n

The launch of the project is crucial. A well-prepared kick-off meeting allows partners to review the project’s objectives and define the working methodology, responsibilities and initial deadlines. It is advisable to quickly set up reliable communication tools, such as mailing lists and a collaborative platform, to promote transparency and information dissemination. The implementation of tracking tables (budget, deliverables, tasks) provides the visibility needed to monitor the project. Finally, defining templates for reports or deliverables from the outset ensures consistency in documentation throughout the project.<\/p>\n

    Manage the project on a daily basis through smooth and effective coordination<\/h5>\n

    Once the project has been launched, daily monitoring becomes essential. Regular meetings with partners, particularly with the Core Team, enable problems to be anticipated and the schedule to be adjusted quickly. On a technical level, the coordinator must ensure the consistency of the work, which involves closely monitoring the progress of work packages, deliverables, milestones and dependencies between tasks.<\/p>\n

More informal reports, known as progress reports, enable the scientific and technical progress of the project to be monitored at shorter intervals. These reports require information to be collected from the various partners and then consolidated into a single document. Reporting is often perceived as a difficult step, but it becomes much simpler if information is collected regularly and reports are prepared in advance.<\/p>\n

        Finally, projects evolve and sometimes require amendments to the Grant Agreement: budget adjustments, technical modifications, reallocation of efforts, or even administrative and legal changes within the consortium. The key is to anticipate these possible changes as much as possible and to communicate in advance with partners and the Project Officer responsible for monitoring the project for the Commission. A well-constructed amendment is one that has been validated by the European Commission and accepted by the entire consortium.<\/p>\n
